Problem: Met the Senior Partner of a firm of Graphic Design Agency, based in Burnley. They were using a four Personal HP Desktop A4 Copier-printers (The ones which are very cheap to buy, but very expensive to run) as a replacement set of Compatible inks alone for their printers cost over £180.00 and HP Originals were even more expensive!
The owner of the business was convinced that his cheap printers offered the best value for money, until we sat down with his IT Manager and ran through some of their invoices.
It said on the boxes of coloured inks, that each ink cartridge would produce some 1,800 colour pages. The description then added in very small print “based on 5% coverage”.
The IT Manager shared a spreadsheet he had created, which monitored how often he replaced the inks on each of their “Personal” printers and it worked out that they were spending on average, some £240 a week on replacement HP Compatible ink cartridges!
This works out at over £12,000 a year on Compatible printer inks alone. Then, when we added in the replacement Drums, Fusers and waste toner bottles, the cost was even more!
Finally, when we factored in the cost of any Service repairs, I noticed the business owner had gone very faint.
Solution: We agreed to upgrade their two busiest HP Printers with a couple of New Xerox 8900DN A4 ColourQube printers, as these new machines were supplied with an All Inclusive Xerox Pagepack Service agreement.
This Pagepack agreement is fulfilled by Xerox UK, the machine’s manufacturer and Xerox UK include all the parts, replacement inks, and other consumables and even include a full on site Manufacturer’s Warranty within a simple fixed cost per page.
Lessons Learnt: After taking in to account the cost of two new Xerox 8900DNM ColorQube machines and their likely print volumes, we still managed to reduce the company’s expenditure by over 58% a year.
There is an old saying which goes “When you Buy Cheap, you Buy Twice” and this was very much evident here.

This week, I received a great Referral in to a department of Leeds City Council, who were looking to invest in a couple of life saving Defibrillators. (Please watch this video which explains exactly how a Defibrillator works.), so as well as supplying photocopiers in Leeds we were more than happy to oblige with the essential defribrillators:
We’re currently looking to work with a Leeds based Insurance Brokers to pass quality Business Opportunities to. We also have Excellent Referral opportunities for a Yorkshire based Recruitment Company.
If you know of any Company wanting to expand their business around the Yorkshire region, then please direct them to: http://www.bniyorkshirewest.co.uk/yorkshire-west-a...
We recently received a Referral from a leading Oldham Based IT Company asking us to visit one of their clients (a Primary School) who felt they were spending too much on Copying, Printing and Scanning all their documents.
Whilst the IT Company could have handled this matter themselves, they knew through previous experience that dealing with suppliers of Office Equipment can be problematic and they simply didn’t want the hassle of getting involved in what can be a “Minefield”.
They, therefore, much preferred to ask us to meet up with their client, carry out our comprehensive Fact Find and then put forward our recommendations.
We often receive Referrals like this as most of our business comes from Happy Customers and Business Partners singing our praises and recommending us to their friends, family, work colleagues and customers so, each and every time you recommend Document XL to someone you know, we will send you a “little something” as our way of saying “Thank you”, when they place their first order with Document XL.
It’s So Easy to earn a little extra cash and you can introduce us to as few or to as many people as you wish. There is no limit to the amounts you can earn. All we ask is that you make sure the person you are introducing us to is expecting our call.
Here’s some examples of just how much you can expect to receive:
Each time you introduce someone new to us who places an order for Stationery with Document XL, you will receive £25.00
Each time you introduce someone new to us who orders a new Pagepack Printer or Photocopier from Document XL, you will receive up to £500.00 in “Love to Shop” Gift Vouchers
For more information on how to claim your vouchers, please visit our referral scheme.
Be Warned: I learned today that ‘WhatsApp’ users are being tricked by fraudsters into downloading a fake version of ‘WhatsApp’ which infects their Android devices with malware.
Messages are sent to people’s inboxes and claim you have an exclusive chance to download "WhatsApp Gold".
(This App is usually only offered to Celebrities and gives them a number of enhanced features).
Potential victims are then urged to sign up for “WhatsApp Gold” via a link provided.
If you then click on the link you will be redirected to a fake page and your Android device will become infected with malware.
‘WhatsApp’ say that they will never send its customers a message asking them to download another App.
Too late? If you have already followed the link to download this software, then you need to install some antivirus software onto your device to remove the malware. Sophos, AVG and Avast all offer this for free.
Our Tips, to help protect you are:
a) Always make sure you have the latest version of software and antivirus installed for increased protection.
b) Be careful when downloading new Apps as rogue ones can appear in legitimate App stores as well as unofficial online stores.
c) Always check reviews and ratings as well as developer information before downloading a new App.
d) If your battery suddenly starts draining really fast, consider that it might be a malware problem.
e) Make sure to check your phone bill online periodically - more often than once a month, that way you can keep tabs on any suspicious activity.
f) Always report a fraud to the authorities and receive a police crime reference number.
If you have experienced this problem and need our help, or if you would like our advice on other ways to protect your Data, then please give us a call on 08456 448 600.
Our Team of UK Based IT Professionals are here to help you keep your Data safe.
